Events and Office Assistant


The Clayman Institute for Gender Research seeks an Events and Office Assistant.  This is a casual contract position (non-benefitted) with a goal to begin late September 2017.  Weekly hours will be approximately 25-30 hours a week but will increase or decrease as needed depending on our events calendar and changing priorities over the course of the academic year.

The Clayman Institute for Gender Research, an innovative and forward-thinking research Institute, creates knowledge and implements change that promotes gender equality. With an over forty-year history and as one of the oldest gender research institutes in the country, the Institute sets a broad research agenda, translates gender research, educates the Stanford community and beyond, and convenes interdisciplinary networks of scholars. Currently we are focused on “reinvigorating the stalled gender revolution.”


  • Manage catering needs for the majority of the Institute’s external and internal events. Catering tasks include researching caterers and options, menu selection, ordering catering and communicating with caterers, managing costs and payment, setting up, cleaning up and tracking attendance.
  • Purchase food and drinks for smaller events when a catering service is not used, and set up and clean up after these events.

Office Duties

  • Assist with special projects from the Associate Director and other team members.  Duties may include helping with organizing files, preparing materials, drafting communications, communicating with staff and/or external affiliates, ordering and picking up supplies, processing financial transactions, managing recruitment logistics, and assisting with administrative needs.  
  • Manage the Institute’s general email inbox and address inquiries.
  • Answer the building’s doorbell, greet visitors and connect them with staff as needed, and sign for packages.
  • Maintain the office kitchen by monitoring and re-stocking low supplies, coordinating the daily cleanup by assigned staff and updating the cleanup schedule as needed.


Support our Events Coordinator with miscellaneous event needs, which may include materials preparation, set-up and cleanup of events, venue coordination, A/V coordination, travel and hotel arrangements for staff and/or visitors, attendance management, communications with registrants and event promotions.
